
How to Order Custom Apparel for Trade Shows and Expos
Plan trade-show apparel around the event
Trade-show apparel has several jobs: identify staff, support a consistent brand presentation, provide useful giveaways, and sometimes create merchandise for sale. Start with the event goals before choosing garments or decoration. A staff uniform and a promotional giveaway shirt may use the same logo but usually need different garment quality, placement, sizing, and inventory plans.
Separate staff apparel from promotional merchandise
For staff, prioritize comfort, fit, movement, and a clear visual connection to the booth. Collect each team member's actual size rather than guessing from a generic size distribution. For giveaways or merchandise, select sizes and quantities from your own audience history when available. If you do not have historical data, treat the first event as a measurement opportunity and record what was requested and what remained.
Prepare approved artwork
Use current logo files and approved brand colors. Keep one source file for the company mark, event-specific text, sponsor marks, and any QR code. If a QR code is included, test the final-size printed result from multiple phones before producing the full run. Do not place important information so close to seams, collars, pockets, or edges that pressing becomes inconsistent.
Choose the decoration method by garment and use case
DTF can be useful for full-color artwork on compatible garments, but it is not automatically the best method for every trade-show item. Screen printing, embroidery, DTG, patches, or another process may fit some garments or quantities better. Evaluate fabric, surface, desired finish, quantity, artwork, and production equipment before deciding.
Build a realistic production timeline
Work backward from the date the apparel must be packed. Include time for artwork approval, blank-garment procurement, transfer or print production, test pressing, full production, quality control, corrections, and shipping to the event. Use gang sheets intentionally
When several compatible designs can share a sheet, gang sheets can reduce unused print area. Build the layout at final print size, leave the separation space required by the current builder, and verify every design before checkout. Do not assume a historical per-transfer cost; use the live builder for current pricing.
Quality-control checklist
- Verify garment style, color, and size against the order list.
- Confirm artwork orientation and placement before pressing.
- Follow the application instructions supplied with the specific transfer.
- Test unfamiliar garments before the full run.
- Inspect every finished piece for placement, adhesion, scorching, dye migration, and garment damage.
- Count finished inventory by size before packing.
At the event
Organize apparel so staff can find the right size quickly. Keep reserve stock separate from display stock and record what is distributed. After the event, compare planned quantities with actual use. That event-specific data is more valuable for the next order than a generic industry size percentage or unsupported impression estimate.
